Keep your suppliers. Add structured order follow-up.
Use GBPH Sourcing to coordinate supplier communication, production milestones and outstanding decisions while you retain your selected factories and approve key purchasing actions.
The order details GBPH Sourcing can coordinate
Order baseline
Record the approved specification, quantities, price basis, sample reference and supplier-confirmed delivery milestones.
Production tracker
Maintain a purchase-order record showing supplier updates, expected completion, dependencies and delayed items.
Communication record
Keep specification changes, approvals and unresolved questions in writing so the factory and buyer work from the same brief.
Issue escalation
Separate routine follow-up from decisions affecting cost, quality, delivery timing or inspection requirements.
Inspection coordination
Arrange an independent inspection brief and booking when authorized, then track the supplier response to findings.
Dispatch handoff
Coordinate packing information, document readiness and handoff to your appointed freight provider.
See a sample order status update
A useful update shows what has been confirmed, what is still uncertain and whose decision is needed next. The following is a fictional order tracker, not a record of client work.
PO-DEMO-001
One product · one supplier · sample data only
Production follow-up
Next supplier milestone awaits written confirmation
Packaging sign-off
Buyer to approve corrected carton-label artwork
| Milestone | Example status | Evidence or next update | Responsible party |
|---|---|---|---|
| Product & PO baseline | Approved | Spec v2 and initial PO reconciled | Buyer approves; GBPH Sourcing records |
| Reference sample | Approved | Sample reference and exceptions recorded | Buyer |
| Production completion | In progress | Supplier to reconfirm readiness milestone | Supplier; GBPH Sourcing follows up |
| Carton label | Action needed | Revised artwork awaiting buyer approval | Buyer |
| Third-party inspection | Not booked | Scope and provider quote needed if selected | Buyer authorizes; inspector executes |
| Shipment release | On hold | Buyer decision after packing and selected checks | Buyer |
What a buyer can decide now
Approve or revise carton artwork, confirm whether independent inspection is required, and clarify the acceptable shipping window.
What the next update should contain
A dated supplier response, changes to the expected ready date, any new cost requiring approval and the remaining release conditions.
This is a static demonstration of report structure. GBPH Sourcing does not provide a live client portal or real-time order-tracking service through this page.
Establish the order, then follow the milestones
Share the current order
Send the PO, approved sample details, payment stage and the supplier contacts authorized to communicate with GBPH Sourcing.
Agree a starting baseline
We identify what is confirmed, what is still unclear and which tasks GBPH Sourcing will manage. Work already in dispute is assessed separately.
Follow milestones
Progress updates reference the agreed tracker. Photos or supplier statements are identified as supplier-provided evidence.
Resolve exceptions
You approve material changes, extra costs, rework decisions and shipment release. GBPH Sourcing documents and follows up on those decisions.
Close and prepare the reorder
Retain the final specification, issue history and next-order actions so the same questions are not repeatedly reopened.
Order baselines, exceptions and reporting

Start with a reliable order baseline
Order follow-up is most useful when everyone is following the same order. Before routine updates begin, reconcile the PO, latest specification, approved sample, packing instructions and supplier-confirmed milestones. If an attachment or message contradicts the PO, that difference should become an open question rather than an assumption made by the coordinator.
The baseline also identifies what has already happened. A factory that has received a deposit and purchased material is at a different stage from a supplier still discussing a quotation. GBPH Sourcing records the starting position so later updates distinguish inherited issues from changes arising during the engagement.
| Order record | What a useful entry contains |
|---|---|
| Current commitment | The agreed product version, quantities, commercial basis and contract parties. |
| Next milestone | The supplier-confirmed event, target date and dependency. |
| Open question | The missing information and the person expected to answer. |
| Buyer decision | The option, cost or timing impact, approval and date. |
| Evidence | The relevant supplier message, photo, document or independent report. |
Handle exceptions with a clear decision trail
When a supplier reports a delay
Ask which production step is affected, what caused the change and what evidence supports the revised schedule. Record whether material, capacity, rework, packaging or another dependency is driving the delay.
Then separate the options: keep the full order together, consider an approved partial shipment, change the handoff date or investigate another route. The buyer chooses the commercial response after the implications are explained.
When the factory proposes a substitution
Record the proposed material or component against the approved reference. Request the effect on price, performance, appearance, lead time and any required evaluation before treating the change as accepted.
A message saying the alternative is “similar” does not close the question. The order record should show the buyer’s decision and the version that production will now follow.
The same approach applies to a packaging change or a revised quantity. A coordinator can obtain information and follow up on actions, but a commercial approval should be attributed to the person authorized to give it.
Make updates useful to the person buying the goods
A practical status update begins with the current position, the next milestone and anything requiring a decision. Routine activity can be recorded in the tracker without becoming a long narrative. An unresolved issue should show the action, owner and required response, so it does not disappear among messages confirming that the factory has been contacted.
For example, “supplier contacted” is an activity. “Packaging artwork is not approved; the printer needs the final file before the supplier can confirm the packing date” is an actionable update. The second statement tells the buyer what is preventing progress and what would allow the next step.
- Use the agreed PO reference and specification version.
- Distinguish supplier statements from independently checked information.
- Show the effect of changes on the next milestone.
- List decisions separately from information supplied for reference.
- Retain the final approval and the document it relates to.
At order closure, retain unresolved lessons as well as completed actions. If the same color question, carton-label error or missing packing detail occurs repeatedly, the next PO should begin with a clearer instruction. Ongoing procurement support becomes more valuable when each order improves the next purchasing cycle.

Questions about this service
Can I keep paying my factory directly?
Yes, direct factory payment can remain in place under Supplier Support. The agreement identifies the purchasing contract parties and payment responsibilities. GBPH Sourcing does not approve a bank-account change on your behalf without buyer verification.
How often will I receive updates?
The reporting cadence is agreed with the order scope. Routine updates and exception alerts serve different purposes; a critical issue should be escalated when identified rather than wait for a regular report.
Can you take over a delayed or disputed order?
Send the facts before booking. Recovery work may need a custom scope, an independent inspection or specialist advice. GBPH Sourcing cannot retroactively control decisions made before the engagement.
