Questions buyers ask about China sourcing

Get clear answers about GBPH Sourcing’s service model, fees, supplier checks, samples, inspections and shipment preparation.

Starting a project

What does GBPH Sourcing stand for?

See our About page for the meaning behind GBPH Sourcing. We help buyers source products in China, coordinate orders and manage supplier communication.

What is the difference between finding a supplier and managing one?

Sourcing identifies and compares potential supply options for a product brief. Supplier management begins with a selected factory or existing PO and coordinates agreed production, communication and handoff tasks.

Can I buy a single service?

Yes. Custom can cover a defined supplier review, quotation comparison, sample coordination or inspection-coordination assignment without a full managed order. The written quote defines the number of suppliers or samples, included deliverables, deadline and any third-party charges. There is no universal fixed price for these different tasks.

Do you work with first-time importers?

A first-time commercial buyer can submit a brief. The product, intended market, order budget, specification readiness and willingness to fund samples or checks determine whether the project is a practical fit.

Is there a minimum order value or minimum order quantity?

There is no single published GBPH Sourcing product-value threshold for every project. Factory MOQ depends on the product, materials, variants and packaging, and every inquiry is reviewed for practical scope and order economics. Basic has a $100 minimum management fee per qualifying managed order, which is not the same as a $100 minimum goods order. Custom tasks may be quoted without a product purchase.

What information should I send first?

Send the product specification or reference, quantity per SKU, destination, target timing, approximate budget and whether you already have a supplier. The RFQ checklist provides a fuller structure.

Plans and payments

Who receives payment and who is the legal seller of the goods?

This depends on the specific buying model and accepted quote. Before paying, confirm the invoicing entity, payee, contractual seller, payment milestones and the role of any third-party provider. The Pricing responsibility checklist shows what to verify.

What happens if the factory ships the wrong specification?

The purchase agreement should identify the approved specification, inspection and acceptance stages, who authorizes release, which party handles claims and any applicable remedies. GBPH Sourcing can coordinate communication under the agreed scope, but a coordination fee alone does not create an unconditional product warranty.

How does the Supplier Support fee work?

Supplier Support costs 5% of the managed product value, with a $100 minimum per order. Additional provider costs and any applicable mixed-order handling are confirmed separately. The calculator explains the published method.

Why does Sourcing Partnership have no separate percentage sourcing fee?

Sourcing Partnership includes the agreed sourcing service cost within GBPH Sourcing’s quoted product price. The service has a commercial cost; it is not an underlying factory quote plus an automatically added Supplier Support fee.

What if an order contains many low-value products?

For mixed orders averaging below $500 per product line, the published handling rule adds $25 for each line valued below $500. If the average is at least $500, that handling surcharge is waived. SKU grouping is confirmed in the quote.

Are samples, molds, inspection and freight included?

Only if the written quote says they are. These costs are otherwise approved separately. Do not treat an included-service product quote as including every downstream cost.

Can I continue to pay my factory directly?

Under Supplier Support this can remain your payment arrangement. Sourcing Partnership or other purchasing models may use different contracting and payment structures. The written quote identifies the seller, payee and relevant responsibilities.

What are your payment and refund terms?

The accepted proposal states the payment milestones and any cancellation, termination or refund provisions for the booked work. The website and calculator do not establish a universal refund promise.

Can I use a monthly retainer?

A procurement-desk retainer can be quoted for recurring work. Supplier coverage, active-order workload, reporting, capacity and extra tasks are defined before the arrangement starts.

Suppliers, samples and confidentiality

Will you disclose factory contact details?

Basic works with suppliers you already selected; you keep your existing relationships. For Pro, the written product quote will define whether factory identity, direct contact, introductions or underlying supplier quotations are disclosed. Custom research can specify what supplier information and verification documents are delivered. Do not assume the same disclosure rights apply across all three arrangements; confirm them before paying.

How do you assess a potential manufacturer?

The scope can review business identity, product fit, commercial consistency and supplied capability evidence. An independent onsite audit may be required when physical facilities or processes need assessment.

Does a sample approval guarantee the production result?

No. The approved sample and specification establish a reference, but production controls and selected inspections still matter. Record the approved version and permitted variations.

Can you help with custom products and packaging?

OEM and private-label coordination can cover a defined manufacturing brief, sample rounds, artwork and production handoff. Technical design, IP advice, tooling and testing are separately scoped where needed.

Should I send confidential drawings through the first form?

Use a non-confidential overview initially. Agree confidentiality requirements, recipients and a suitable sharing method before sending sensitive manufacturing files or personal identification documents.

Can I require my own quality standard?

Yes, provide the specification, approved sample, tolerance limits and relevant test methods. The inspection provider must confirm that the checks can be performed under the proposed scope.

Quality, warehousing and shipping

Do you have your own factories or warehouse?

GBPH Sourcing provides independent sourcing and procurement coordination. Factory production, inspections, warehousing, prep and freight can be arranged with independent partners; no owned facility is implied.

What does a pre-shipment inspection cover?

The booked brief may include sampled product checks, functions, dimensions, quantity, labeling and packing. It depends on the product and provider. Laboratory testing and full unit inspection are different scopes.

Does an AQL inspection prove the shipment is defect-free?

No. AQL is used within a sampling acceptance plan. It does not inspect every item or guarantee the defect rate of the whole shipment.

Who decides whether goods may ship?

The buyer or the party authorized by the agreement approves release. Inspection findings, unresolved issues and the relevant contract terms inform that decision.

Can you combine cargo from several suppliers?

Partner-coordinated consolidation can be reviewed. Receiving, storage, domestic transport, handling and final freight costs must be compared with separate shipments.

Can you arrange Amazon FBA preparation?

Preparation can be scoped through the factory or an independent partner using seller-provided current requirements. Labeling, packing, checks, materials and transport are separately itemized as needed.

Can you guarantee the landed cost or delivery date?

A shipment-specific quote needs actual cargo data, route, trade terms and destination requirements. The fee calculator is not a customs or freight quotation. Supplier and transport commitments are confirmed in their relevant terms.

Changes, approvals and handoffs

What happens if I change the product after receiving quotations?

The affected suppliers need the revised requirement and may need to re-quote. GBPH Sourcing can record which version changed and the known effects on samples, setup, price and timing. Materially expanded work is confirmed before it becomes part of the engagement.

Can you work from screenshots of supplier conversations?

They can help explain a problem, but an active order also needs a reliable baseline. Share the relevant PO, current specification, approved sample information and the questions that remain open. The scope can begin by organizing those records.

What if the supplier gives different dates to different people?

Establish the latest supplier-confirmed milestone, the reason for the difference and who is authorized to confirm changes. Retain the response in the order record so the project is not managed against several competing timelines.

Can I approve a sample with conditions?

Yes, if the approved features, outstanding points and effect on production authorization are clearly recorded. A conditional sample approval should not become an unconditional instruction to manufacture.

Can a warehouse count my cartons and inspect every product at the same time?

Those are different scopes. Receiving may cover carton counts and visible outer condition. Unit reconciliation, product inspection and specialist testing need their own defined work, time and charging basis.

What if one supplier misses a consolidation date?

Review the options of waiting, splitting the dispatch or moving the late goods separately. The buyer decides after the relevant storage, handling, freight and timing implications are explained.

Will I receive every supplier message?

The proposal can define communication access, reporting and records. Useful updates should highlight milestones, evidence and decisions without requiring the buyer to reconstruct the order from every routine follow-up.

How should I prepare a repeat order?

Begin with the approved product and packaging version, then list changes to quantity, price basis or timing. Carry inspection findings and agreed corrective actions into the new brief rather than relying on an old product listing.

What does “included service cost” mean for Sourcing Partnership?

It describes the commercial pricing structure: the agreed sourcing service is paid for within the quoted product price. It does not automatically include unquoted provider work or authorize additional purchases.

Can I confirm a fee before my brief is complete?

The calculator can explain the published arithmetic, but the work and any separate costs still need to be defined. Identify the inputs that are undecided so the proposal can state its assumptions rather than imply the full project is already quoted.

Have a question tied to a real order?

Send the product, current stage and the decision you are trying to make. That context helps define a useful response.
